Scope of the Coordinator’s Position for the Tubman Institute
The Coordinator is a full-time management position at The Harriet Tubman Institute for Research on the Global Migrations of African Peoples. The Institute operates as a research and community outreach facility and its administration is the responsibility of a core Management Team.
The Coordinator must demonstrate scholarly knowledge of the study of Africa and the African diaspora. Ph.D. or M.A. in a discipline involving research on Africa and/or the African diaspora is desirable. Experience in grant writing, program development, leadership and management is advantageous. In addition to English, fluency in Spanish, Portuguese and/or French is desirable.
The Coordinator will be responsible for:
§ playing a strategic role (both short and long-term) to ensure the Institute successfully meets its own mission and goals;
§ working with the Director, Deputy Directors and appointed designates in overseeing the design, planning, and implementation of designated programs and activities;
§ building a high performing and competent team to achieve measurable results; and
§ working in collaboration with the Operations Officer on day-to-day operations
The Coordinator must demonstrate:

§ The ability to manage multiple projects and set priorities accordingly
§ General skills in computer use in MS-Office (Word, EXCEL, Power point) and website experience
ROLES AND RESPONSIBILITIES:
A. Research and Planning Management
§ Works under the general direction of the Director, Deputy Director(s) of The Harriet Tubman Institute for Research on the Global Migrations of African Peoples
§ Assists the Director in overall strategic planning of the Institute
§ Takes an active role in establishing criteria for designing, delivering and managing all related research and program activities
§ Assists in the design, organization and management of special events including team meetings, conferences, and workshops.
§ Oversees all project teams to ensure that activities operate within the set criteria and include efficient reporting
§ Builds good working relationships with individuals and teams and provides coaching/mentoring of staff in their respective roles
§ Provides leadership for overseeing all meeting arrangements and ensures that appropriate reports on these events are prepared
§ Prepares meeting agendas, progress reports as required by the Director
§ Communicates on behalf of the Director as required
§ Assists in the recruitment, selection and orientation of new employees
§ Provides signing authority for Tubman financial expenditures as required and arranged with the Director and Operating Officer.
B: Leadership and Supervisory Responsibilities
§ Supervisory skills for Tubman Institute Management Staff including Operating Officer, work-study student, graduate assistants, international students and any voluntary positions assigned responsibility on behalf of the Institute
§ Provides input into the long- and short-term planning decisions by the Director, Deputy Director(s) and Executive Committee.
§ Representative at conferences, educational institutions, community events, etc. when required
C: Reports, Publications, Research Grants, and Communication Materials
§ Assists in developing communication strategy
§ Assists in the design and content management of Institute communications, publications and marketing including the website and the formatting of /Calls for Research /proposals and the distribution of funding proposals
§ Oversees the updating of the website
§ Assists in the design and content of reports, publications and communication documents
§ Ensures all materials are updated and on time as required (specifically website and easy flow of information to anyone asking for background)
§ Responsible for ensuring all materials for press conferences (press kit) are available
§ Takes responsibility for development of newsletters for content and delivery time
§ Ensures annual reports are completed yearly
D: Policies and Procedures/Contractual Arrangements
§ Defines and/or implements a set of policies and procedures (a set of standard templates for the operation and procedures of all related activities)
§ Oversees contracts for personnel in cooperation with the Operating Officer
§ Oversees arrangements for Institute programs, projects, events, workshops – and other related activities
§ Ensures expected outcomes are clearly defined
§ Works with Operations Officer to assure that budgets reflect all real costs and are in alignment with all planning and operational activities
